Notion Expert (Project-Based)

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Notion Expert (Project-Based) based in Canada.

This project-based opportunity is ideal for a Notion specialist who enjoys designing efficient digital workspaces and transforming complex workflows into intuitive systems. You will work directly with stakeholders to optimize collaboration, improve productivity, and create scalable knowledge management solutions. The role combines strategic thinking with hands-on implementation, allowing you to build customized workspaces tailored to business needs.

You will have the autonomy to recommend improvements, implement best practices, and deliver user-friendly solutions that support long-term growth. This is an excellent opportunity for someone who thrives in remote environments and enjoys helping teams work smarter through well-designed systems.

Accountabilities:

The Notion Expert will design, build, and optimize customized Notion environments that improve operational efficiency and collaboration across the organization.
  • Assess existing workflows, documentation, and productivity tools to identify opportunities for improvement.
  • Design and implement customized Notion workspaces tailored to business requirements.
  • Create databases, templates, dashboards, project trackers, content calendars, CRMs, knowledge bases, and task management systems.
  • Develop scalable workflows that improve organization, collaboration, and information accessibility.
  • Configure advanced Notion features, including formulas, relations, rollups, and permissions.
  • Deliver documentation and provide walkthroughs or training sessions to ensure successful adoption.
  • Recommend best practices, future enhancements, and opportunities for automation to maximize long-term value.

Requirements:

The ideal candidate has extensive experience building sophisticated Notion workspaces, strong organizational skills, and the ability to translate business processes into effective digital systems.
  • Proven experience designing and managing advanced Notion workspaces, supported by a portfolio or project examples.
  • Strong understanding of workflow optimization and productivity system design.
  • Experience creating custom databases, dashboards, templates, and knowledge management solutions.
  • Proficiency with Notion features including formulas, relations, rollups, and permission management.
  • Ability to work independently while managing client communication and project delivery.
  • Excellent analytical, organizational, and problem-solving skills.
  • Strong written and verbal communication skills.
Nice-to-have qualifications:
  • Experience using the Notion API.
  • Familiarity with automation platforms such as Make, Zapier, or similar tools.
  • Experience integrating Notion with other business applications and productivity platforms.
