Constituency Assistant – Corespondance & Communications PART TIME

The position’s main role is always to serve the residents of Davenport on behalf of Member of Parliament Julie Dzerowicz. The position will report directly to the Senior Manager, Constituency Operation and work with the constituency team in the MP Toronto office to provide excellent service to the Member’s constituents and to support the Member’s parliamentary work.

In addition, the part-time Correspondence & Communications assistant oversees all constituency correspondence and plays a key role in communicating with Davenport residents.

Duties and responsibilities:

The primary duties and responsibilities for this role are:

· As a part of the constituency team, deals with daily queries from members of the public by phone and email, taking appropriate action to resolve and document concerns or enquiries.

· Review and respond to all Davenport residents’ communications – via email and/or letter.

· Responsible for escalating any and all correspondence matters of importance.

· Fill in Master Correspondence List and provide a weekly summary update to Senior Manager.

· Responsible for the tracking, monitoring and data management of correspondence.

· Supports the bi-weekly email updates to constituency.

· Supports with all direct mail and constituency pieces.

· Ensures Member’s brand is communicated and enforced in all communications materials and platforms.

· Support in updating Member’s website – as it relates to Davenport correspondence and Members statements.

· Supports social media postings as needed.

· Stays up to date on Canadian political news and events in general.

· Stays up to date on local events and activities.

· Maintains and continually improves an effective media monitoring system to maximize the Member’s opportunities for exposure.

· Supports outreach activities:

o Helps out at festivals, street fairs and all MP community related activities.

o Formats complex documents and templates including presentations, reports, memos, forms, and minutes for distribution to internal and external clients.

· Community meetings and events:

o Attends meetings and events on behalf of Member

o Attend meetings and events with Member

o Prepares Member for events as requested: research and basic preparation of speaking notes

o Responsible for summary notes and proper follow up of meetings attend with members

· Other duties as assigned by the Member or Senior Manager

Knowledge, skills and abilities

· Superior written and verbal communications skills.

· Ability to establish and manage multiple priorities, meet strict deadlines, and work independently to efficiently manage multiple and concurrent projects in a high‑stress environment.

· Tact, diplomacy, high degree of discretion and superior skill in building and maintaining work relationships with internal and external clients.

· Organization and priority-setting skills, as well as attention to detail.

· Ability to research, analyze and synthesize complex findings within a short time frame.

· Knowledge of media relations management principles and approaches to develop news releases and backgrounders with consistency, speed and efficiency.

· Knowledge of current events and the political and parliamentary environment. Deep interest in Canadian politics and awareness of current global issues.

Education and experience

University degree or post-secondary education from a recognized institution in communications or a related field, combined with experience in communications involving large projects and working with senior management OR an acceptable combination of education, training and relevant experience.

Pay: $19.00-$22.00 per hour
